Lesson 6 of 17Run a live event from setup to gallery

Read the processing dashboard during a live shoot

Imported, Uploaded, AI Edited, Exported, Shared — five numbers that tell you exactly where the bottleneck is.

Article· 6 min

The dashboard is your live operations board. It tells you whether the problem is capture, upload, AI, export approval, or sharing. Without that map, every delay feels the same and the team panics in the wrong direction.

How to read it

  1. Imported — files are on the device and queued locally.

  2. Uploaded — files reached the cloud. With AI Culling on, only passing images may upload automatically.

  3. AI Edited — Evoto has generated edited previews. Previews are free to view.

  4. Exported — the AI-edited image is finalised. Manual export gives a review step before credits are spent.

  5. Shared — photos reached the client-facing gallery flow.

Try it

On a test project, import ten photos and watch each number move. Say each stage out loud as it changes. The goal is to make the dashboard a shared team language before the event.

Watch out for

  • Reading Shared as "every guest got their link". Shared confirms delivery into the flow; private links still need the right project settings.

  • Leaving manual export on when instant delivery is the promise to the client.
